D001 Street Outreach DOE Report Guide

This report is for Street Outreach Projects only.  This report displays adult street outreach clients' enrollments, along with the status of their Date of Engagement (DOE).  The report will flag DOE that is missing, listed as prior to project start date or listed as on/after exit date.

NOTE: This report is available only to those HMIS users with an additional Advanced Reporting Tool license

Setting Prompts

    • EDA Provider: select the specific HMIS street outreach project
    • Enter Provider(s): select the same project as in EDA Provider
    • Report End Date (Plus one day): the last day of recorded data to be included in the report 
    • Report Start Date: the first day to be included in the report

Using the Report

This report has 2 tabs.

Clients Overview

The top table provides details on the number of adult clients within the project, total number of adult clients with missing Dates of Engagement, total number of adult clients with Dates of Engagement before their Start Date within the project, and total number of adult clients with Dates of Engagement after their Exit Date for the project (image below)

The bottom table listed a row for each client per project stay with a provider.  The table includes columns for the client ID, project name, project start date, project exit date, and date of engagement. (image below)

When making corrections remember:  SET THE ENTER DATA AS AND BACK DATE MODE CORRECTLY!

 

Exit Date Confirmations:

Clients without an exit date are considered active clients enrolled in a project. This column should be checked to confirm clients without an exit date are still being actively outreached.  Clients who have had no Current Living Situation recorded in more than 90 days should be exited as of their last Current Living Situation date recorded by the project.

 

Date of Engagement Errors:

Adult clients without an accurate Date of Engagements (DOE) are excluded from most data quality reports, including those used for federal reporting purposes. All adult clients in street outreach projects must have their DOE reviewed and verified as accurate. 

  • Per the HUD Data Standards, clients' Date of Engagements (DOE) are to be recorded:
    • On or After the Project Start Date
    • On or Before the Project Exit Date

The Date of Engagement column marked cells without a missing date of engagement as "missing".  Clients who are missing this data element with an exit date appear in red text only along with (EXITED CLIENT).  Clients who are missing this data element without an exit date are bolded, highlighted, and include (ACTIVE CLIENT).  All missing DOE should be double-checked.

 

DOE date will be in bolded red text if a DOE is before the Start Date or after the Exit date. These inaccurate dates need to be corrected in the HMIS system.
