D007 - 0630 Sheltered PIT (Point in Time) Report Correction Guide

This report is designed to help HMIS@NCCEH ES and TH projects complete all the steps needed to submit data for PIT/HIC Reporting. Only clients who are actively in an Emergency center or Transitional housing on the night of PIT will be included in this report and reported to HUD.

Setting Prompts

    • Select Provider CoC Code(s): skip - leave as is
    • Select Provider(s): select a specific HMIS project
    • Enter PIT Date PLUS 1 Day: skip - leave as is
    • EDA Provider: select the same HMIS project as in Select Provider prompt
    • Enter effective date: skip - leave as is
    • Enter End Date MINUS 1 Day: skip - leave as is
    • Enter PIT Date: skip - leave as is

 

Using the Report

This report has several tabs. Check your prompts on Tab G - Additional Information. Use Tab E - Client Details and Tab F - Disability Detail to confirm data.

 

Tab A- Homeless Pop

Confirm everyone is accounted for. The tab is broken into three sections: 

  • Households with at least one Adult and one Child (under age 17)
  • Households without Children (children are at least 18)
  • Households with Only Children (under age 18)

If not everyone is accounted for, check their Entry/Exit tab for an accurate enrollment in HMIS.

 

Tab B- Veteran Households and C- Youth Households. 

  • If this applies to your agency confirm everyone is accounted for on these tabs.

 

Tab D- Homeless Subpop [Hidden while under development]

  • Confirm these are the accurate counts of the individuals experiencing severe mental health, substance abuse issues, HIV or AIDS, or Fleeing a Domestic Violence situation.
  • If corrections need to be made, please do so in EDA and Backdate modes, and updating on the client’s Project Start Date

 

Tab E- Client Detail

  • Review this tab for any errors or inaccuracies that may be in the client profile.
    Missing data or potential Errors may be highlighted or red: 

  • This example shows that both the Head of Household and Child are both listed as Self. This issue would need to be updated by going into the Entry Assessment and updating the child’s Relationship to Head of Household Status.
  • The CH stands for Chronically Homelessness Status. If there is an ‘X’ in the box, this means their Homeless History questions were answered in the affirmative AND they have a qualifying disability. Please double check your files to ensure accuracy if there are any questions.
  • If corrections need to be made, please do so by using Enter Data As mode and Back Date mode before adjusting the client’s information

 

Tab F- Disability Detail

  • Please review to confirm if their Disabilities listed for the clients is accurate
  • Disabilities will only be counted if the Disability Determination and Disability Long Continued responses are both Yes
  • If corrections need to be made, use Enter Data As mode and Back Date mode before adjusting the client’s information
  • The Disability Determination Question, Specific Disability Type, and Follow-up (Long-Continued or Indefinite Duration) Question must be complete in order to pull correctly

 

Tab G- Additional Information

  • This tab shows details related to the prompts used to pull the report.
  • Make sure that Provider and EDA Provider match for accurate visibility!
