There are times when additional family members join a household which is actively enrolled by a project, such as when a baby is born. This tipsheet is designed to assist HMIS users with how to add additional family members to the Household Tab and to a project entry already in progress on the Entry/Exit Tab (both steps are required to properly add a new client mid-stay).
This tipsheet is specific for projects using ClientPoint.
Adding a new client to the Household Tab
- Search for and open the Head of Household's record.
- Back Date Prompt: list the date the new family member joined and click Set New Back Date
- Click on the Household Tab
If there is not a household on the Household Tab

- Click Start New Household
- Select the appropriate Household Type
- Search for the next household member. Fill in the new individual's name, then search.
- If the individual appears in the search results, click the green button to add them to the household
- If the client does not appear in the search results, fill in the additional information (name data quality, SSN, SSN data quality, and veteran status) and click Add new Client with this Information
- Repeat step 3 until all household members are listed within the bottom table.
- Click Continue
- From the top table ("Household Members"), identify the Head of Household by selecting "Yes" from the Head of Household Column. Then fill in the relationship to head of household for each household member
- After the all "Relationship to Head of Household" fields have been updated, click save and exit.
If the household already exists on the Household Tab
- Click Manage New Household to edit the existing household.
- Update the Household Type (if appropriate)
- Click the black arrow in front of Previous Household Members
- If the individual is in the list, click the circular blue arrow in front of client’s name
- Fill in the date the client rejoined the household and the relationship
- Fill in the date the client rejoined the household and the relationship
- If the individual is not in the list, click Add/Delete Household Members
- Click the arrow in front of Add Clients to the Household
- Fill in the individual’s name, then search
- If the individual appears in the search results, click the green button to add them to the household
- If the client does not appear in the search results, fill in the additional information (name data quality, SSN, SSN data quality, and veteran status) and click Add new Client with this Information
- Repeat until all household members are listed within the bottom table.
- Click the arrow in front of Add Clients to the Household
- If the individual is in the list, click the circular blue arrow in front of client’s name
- Click Continue
- From the top table ("Household Members"), fill in the relationship to head of household for each new additional household member
- Confirm the “Joined Household” date matches when the new member actually joined the
household (birth date for a new baby, date married, etc) - After the all "Relationship to Head of Household" fields have been updated, the "Joined Household" date, and "Household Type" field have all been confirmed, click save and exit.
Adding the new client to the existing Project Entry
- Click on the Head of Household's Entry/Exit Tab
- Click the pencil for the entry to which you want to add the new client(s)
- Click Include Additional Household Members
- Click the box of each client(s) to be added, and click Continue

- DO NOT change any dates here!!!!!

- Click Save & Continue
- Locate the "Household Members Associated with this Entry / Exit” table (at the top of the window, see screenshot below), click the entry pencil for the client(s) who just joined the household
- Uncheck all clients except the newly joining client(s).
- Change the date to the date the new client(s) joined, click Save & Continue

- The newly joining client(s) should now show with the their correct entry dates while the rest of the family members should have their original entry dates.

- Complete the entry assessments for the newly joining family members
- Click on the new client(s) name on the left-hand side and complete applicable assessment questions.

- If the project is a permanent housing project and the Head of Household does have a Housing Move-In Date, the newly joining adult client(s) should have the Housing Move-In Date listed as the same Housing Move-In Date listed for the Head of Household

- Click on the new client(s) name on the left-hand side and complete applicable assessment questions.
- Once all entry assessments have been completed for the newly joining client(s), click Save & Exit
