This article shows how you can customize your HMIS home dashboard to include counts reports.
What is a Counts Report?
Counts Report is a feature you can add to your Home Page Dashboard in HMIS that has four quadrants, each displaying a different "count" of your choosing. For example, it can show how many clients you are the assigned caseworker for who has an open entry, which clients are missing data, which have expiring ROIs, which have recent shelter stays, etc.
While adding the Counts Report is optional, it could be a useful took to quickly see a list of clients who meet the criteria identified in the report.
How to Add and Edit Your Counts Reports
1. Log in to HMIS, and from the Home Page Dashboard, click the small black arrow to expand the Customize Your Home Page Dashboard
2. Click Add Counts Reports
3. The Counts Report will appear above. Click on the pencil icon to edit what you want to show in each quadrant of the report.
4. You can have a different count in each quadrant of the report. Use the Report Name dropdown to select what you'd like to see. A description of what each report pulls is displayed below.
- Note: when you select "My client...", it pulls only clients where you've assigned yourself as the case manager on the client's Case Manager tab in HMIS. This is a great option to use when you want to see your caseload. For example, "My clients with an entry but no exit" will show all clients whom you are the case manager for who are openly enrolled in the project.
5. If you want to narrow the counts to just clients served by your agency, you must change the Provider Type to Provider, select the provider as your Level 3 Agency project, and then check Include Subordinates . If you want to just show a specific project, select that project as the Provider. Select your Date Range.
In the screenshot above, selected all dates, with the level 3 provider and subordinates will pull all clients for whom you are the assigned case manager with an open project entry into any of your agency's projects.
6. Click OK.
7. At the top of your HMIS Home Page Dashboard, you will see a colorful box indicating you have made changes to your home page. Click on Save to save all edits to the Counts Report.
8. The counts will change in live time as changes in the system occur that impact the count. You can click on the blue number to pull up a list of clients included in the count.
