Managing Existing Households

There are times when Households change, such as when a baby is born . This tip sheet is designed to assist HMIS users with how to manage the Household Tab. 

This tipsheet is applicable for BOTH ClientPoint and ShelterPoint

 

Adding a new client to an existing Household

  1. Search for and open the Head of Household's record.
  2. Back Date Prompt: list the date the new family member joined and click Set New Back Date
  3. Click on the Household Tab
  4. Click Manage New Household to edit the existing household. Household_Tab_-__manage_household.png
  5. Update the Household Type (if appropriate) Household_Tab_-_Household_Type.png
  6. Click the black arrow in front of Previous Household Member
      • If the individual is in the list, click the circular blue arrow in front of client’s name
        • Fill in the date the client rejoined the household and the relationship Household_Tab_-__previous_family_member.png
      • If the individual is not in the list, click Add/Delete Household Members Household_Tab_-__new_family_member.png
        • Click the arrow in front of Add Clients to the Household Household_Tab_-__Add_New.png
        • Fill in the individual’s name, then search
          • If the client appears in the search results, click the green button to add them to the household
          • If the client does not appear in the search results, try to search two additional ways (partial name, full SSN, etc).   If the client still does not appear in search results, complete the client's name, , name data quality, SSN, SSN data quality, and veteran status and click Add new Client with this Information
          • Repeat until all household members are listed within the bottom table. Household_Tab_-_Client_Search.png
  7. Click Continue
  8. From the top table ("Household Members"), fill in the relationship to head of household for each new additional household member Household_Tab_-__Relation_to_HoH.png
  9. Confirm the “Joined Household” date matches when the new member actually joined the
    household (birth date for a new baby, date married, etc) 
  10. After the all "Relationship to Head of Household" fields have been updated, the "Joined Household" date, and "Household Type" field have all been confirmed, click save and exit. Household_Tab_-__final_step.png

 

Removing a household member from an existing household (Household Tab)

This process should only be followed for those household members which are permanently being removed from the family.  Examples of when a household member might be permanently leaving a household might include: client has died or two adults have divorced. If you are unsure if this process is appropriate for a client situation, please reach out to the NCCEH Data Center before making changes.

 

  1. Search for and open the Head of Household's record.
  2. Back Date Prompt: list the date the family member will no longer be part of the household permanently and click Set New Back Date
  3. Click on the Household tab
  4. Click Manage Household Household_Tab_-__manage_household.png
  5. Click the red minus circle next to the household member being permanently removed (icon is on the far left of the row) 
  6. Confirm the removal date reflects the date the client left the household. Household_Tab_-_date_left.png
  7. Click Save
